About the Brand
The goal of the Publishing Performance and Intelligence Group (PP&I) is to help deliver next generation digital publishing at Springer Nature and, as a result, grow the number of published articles, especially in Open Access (OA). Working closely with the Journals Group, Production, Technology, Marketing and Customer Services, we contribute to a wide variety of support work. This includes increasing the number of transfers of articles between journals, the commissioning of new collections and strengthening editor engagement, as well as supporting and enhancing the end-to-end publishing process
About the Role
Springer Nature works with thousands of external and internal academic editors to run our journals and collections. We also work with hundreds of thousands of peer reviewers to ensure manuscripts are assessed for publication in a timely and appropriate manner. The Team Lead: Editorial Engagement Support is responsible for providing an exceptional level of support to these editors and reviewers. A data governance, customer service and workflow management expert, the Team Lead manages a team of Editorial Engagement Support Specialists and Assistants across multiple locations, focusing on a specific portfolio of journals. Acting as a data producer for editor and reviewer information across the company, the Team Lead works with Journal Owners to ensures that information stored in enterprise-level systems and databases complies with agreed data standards. Collaborating with Operations, Technology and the wider Editorial Engagement Team, the Team Lead also guarantees that new editors and reviewers have a positive experience from the moment they agree to work on one of our journals.
Roles Responsibilities
1. Line Management: Ensuring team resources are effectively deployed to meet the needs of the organisation and individual team members, and provide the best level of support for the different parts of the Springer Nature portfolio. Responsibilities include:
Line management of a team of Editorial Engagement Support Specialists and Assistants across different locations and time zones
Championing the Editorial Engagement departmental strategy (Recruit, Train, Support, Reward) so that the Editorial Engagement Support team understands the role it plays in supporting the business
Acting as escalation point for the team when unusual circumstances arise with editor and reviewer records, liaising with Journal Owners and the Data Management Team to find the right solution for the individual.
2. Data governance: Ensuring data standards are implemented and maintained for all information related to editors and reviewers in Springer Nature systems and databases. Responsibilities include:
Acting as an advocate for data standards and quality across the Research Publishing department
Applying data standards defined by the Data Management Team to all additions, updates and removals from Editor Data System (EDS) and other relevant systems
Working with Journal Owners, Global Publishing Operations (GPO) and the wider Editorial Engagement team to keep journal editor listings accurate and up to date in all relevant systems.
Collaborating with Journal Owners to jointly agree that records are correct, complete and compliant with data standards
Ensuring that Journal Board Pages are published accurately so that editor and reviewer records appear correctly on our websites
Ensuring updates/changes are made to EDS and other systems to agreed TATs
3. Workflow and project management: Managing and improving the entire workflow of onboarding external editors and reviewers and maintaining editorial boards information . Responsibilities include:
Maintaining and improving the onboarding process for new editors and reviewers to ensure that it is as frictionless as possible. Reviewing and updating invitation templates, enrolment forms and onboarding processes as necessary
Maintaining and improving the editorial board re-engagement process to improve efficiency and engagement of our editorial boards
Overseeing the maintenance process to ensure that editor data is always accurate and up to date in our databases and on the journal editor listing page
Ensuring that our editors have access to the peer review system and other systems they need to do perform their roles to the best of their abilities
Working closely with other support teams, for example our Global Publishing Operations (GPO) and the wider Editorial Engagement team to coordinate onboarding activities
4. Customer Service: Managing the editor support inbox that serves as the main point of contact for our external editors and the EBM Administration form used by internal Journal Owners. Responsibilities include:
Assigning and coordinating requests from internal and external customers
Maintaining the Editor Support FAQs
Serving as a main contact for the Publishing Support team
Working closely with other administrative teams to drive continuous improvement activities.
Monitoring turnaround times and editor satisfaction
Key relationships
Collaborating with the Editor Resourcing, Reviewer Engagement, Editor Engagement and Publishing teams to provide an excellent editor and reviewer onboarding process
Collaborating with EDS development team
Collaborating with GPO/SNAPP support to solve editor access issues and maintain editor data integrity across systems
Collaborating with the Director of Data Governance and team with regard to data quality standards and breaches
Collaborating with SN Customer Service teams to ensure timely processing of all assigned tasks
Working closely with the OR support team to solve APC token issues
Experience, Skills & Qualifications
Experience - 1+ years of team handling experience
Experience of STM journal publishing, with an understanding of peer review and the role of Editorial Boards
Experience in line management
Well versed with publishing workflow/systems/processes
Experience of communication with external editors and internal stakeholders across time zones
Experience in content management and journal (meta)databases
Experience in workflow management
Customer service experience
Skills
Project management skills, with confidence and ability to lead projects
Strong organisational skills, with attention to detail
Has a customer-focussed mindset
Successfully influences and motivates others to accept and support an idea/proposal/plan
Works cooperatively and flexibly with other members of the team, influencing and motivating them.
